What is the role of the person being shadowed?

  • ​Suggest ways of meeting the objectives of the person doing the shadowing before the visit

  • Reflect on how you could also benefit from a person shadowing you

  • Discuss practicalities in advance of the work shadowing such as transport, dietary and communication requirements, access to buildings etc.

  • Mutually agree to a date and duration for your work shadowing with your line manager and host.

  • Complete the Outside Insight Programme Outline before the visit in conjunction with the person shadowing you

  • Welcome the person doing the shadowing on the day of the visit

  • During the work shadowing visit, you will guide the person shadowing you regarding the scope and limitations of what areas and information and people they might have to access.

  • When on the property of the hosting institution, you should make the person shadowing you aware of health and safety and other requirements.

What is the role of the Line Manager/Supervisor of the person being shadowed?

  • As a Line Manager/Supervisor, you will support your staff member in completing the Outside Insight application form specifically in terms of the objectives for the work shadowing visit.

  • To agree to the Outside Insight work shadowing visit by signing the Outside Insight application form.

  • To enable the staff member to take time away from their work to participate in the work shadowing visit.

  • Follow up with the staff member after the visit to evaluate the benefits and impact of the visit.

What is the role of the Designated Co-ordinator?

  • ​The Designated Co-ordinator will advertise the work shadowing scheme within your institution.

  • Will act as a broker to match the person doing the shadowing with a suitable person in the preferred institution

  • Will be your institutional contact if you have any questions or concerns about the scheme.

  • Will act as the first port of call for all parties to resolve any day to day issues (for instance, in sickness or any other reason for cancellation or postponement of the visit).

  • Will administer the evaluation process for your institution.
